Gwardjani - Online Submission Guidelines

Kindly be informed that the Gwardjani web portal does not store any credit card details.

In order to be able to renew a Private Guard Licence, you must perform a Private Guard course in any of the licenced academies.

To submit a successful application, you must attach a certificate copy of the Private Guard course and a copy of your ID Card / Residence Permit. If you are also a holder of any or all the 3 special licences, a certificate copy of each licence is also required.

When the application form is submitted, an email will be sent to you as confirmation of successful submission indicating your application reference number.

When the Police Licencing Office receives your submission, this will be vetted in order to ascertain that you qualify for renewal and if you qualify you will receive an email to proceed with payment. If your licence tag is due to expire, the portal will automatically notify you to also attach a copy of your passport size photo so that a new tag can be issued. The photo must be clear, in colour and taken recently. A poor-quality photo will not be accepted.

Once your licence is successfully renewed notice of completion will be sent by email and also by an SMS notification (as long as a mobile number has been provided in the application).

If your licence tag does not require changing, the renewed licence will be sent by standard post while if your licence tag is changed, you must personally hand in your old (expired) licence tag and instead collect your changed tag and renewed licence.

It is expected that you apply for renewal two (2) months prior to licence expiration. If the uploaded ID card/Residence Permit and copy of Course Certificate/s are valid, the vetting period is expected to be completed within one (1) month.
